The Insurance Compliance Coordinator is responsible for verifying and maintaining vendor insurance compliance by reviewing Certificates of Insurance, managing policy renewals, and ensuring adherence to TopHAT Insurance Requirements. This role involves working closely with vendors, insurance agents, and internal teams to address deficiencies, process approvals, and maintain accurate compliance records.
Key Responsibilities:
- Review and approve insurance compliance by verifying Certificates of Insurance (COIs) with TopHAT Insurance Requirements while working with ContractApps, Location Managers, Common Carriers, and insurance agents. Address deficiencies and escalate issues as needed.
- Monitor and manage policy renewals by tracking expiring policies using the Gallagher Verify GV dashboard, notifying relevant parties, and ensuring updated COIs are received and compliant.
- Maintain compliance records by organizing and updating insurance-related documentation in SharePoint, email folders, and GV while ensuring all records are accurate and accessible.
- Manage vendor onboarding and termination by approving new vendors, submitting Active Vendor forms to GV, and processing vendor terminations by notifying GV, BizChoice, and OpenForce when applicable.
- Communicate with stakeholders by working closely with insurance agents, vendors, and internal teams to clarify coverage requirements, resolve discrepancies, and ensure compliance.
- Utilize compliance systems by navigating and updating Gallagher Verify GV and OpenForce to track vendor compliance, coverage status, and policy expirations.
- Process and organize insurance mail by opening, scanning, and prioritizing insurance-related mail while ensuring critical documents are reviewed and stored appropriately.
- Assist with Occ Acc program enrollments by sending OpenForce DocPush documents for vendors interested in coverage.
- Other duties may be assigned.
