We are seeking an enthusiastic individual to assist the Chairman and CEO of Atlas World Group! The Senior Executive Administrative Assistant is responsible for delivering high-level administrative support, including conducting research, preparing detailed reports, managing information requests, drafting correspondence, and welcoming visitors. This role involves coordinating both virtual and in-person meetings, including high-profile events up to the company’s board level, while maintaining and organizing the CEO's calendar and key engagements.

 

Key Responsibilities:

  • Oversee and coordinate all aspects of the CEO's schedule, including managing meetings, travel arrangements, and event planning.
  • Organize and maintain the scheduling of board meetings, liaising with executive and senior management to ensure all deadlines are met. Prepare materials, process expense reimbursements, and manage board payments for each meeting.
  • Maintain and regularly communicate an updated list of corporate and industry meetings to the board of directors and the management team.
  • Coordinate and distribute quarterly communications to the board of directors.
  • Plan and facilitate monthly and quarterly meetings with business unit leaders.
  • Review and analyze incoming correspondence to assess importance and direct appropriately.
  • Handle sensitive and confidential documents, ensuring they are securely managed.
  • Screen and route incoming phone calls, redirecting them as necessary.
  • Approve timesheets on behalf of the CEO for direct reports and provide backup support to other business unit leaders when needed.
  • Prepare and format a variety of documents, including invoices, reports, memos, letters, financial statements, and presentations, using relevant software.
  • Welcome and assist visitors during corporate events and for unscheduled visits.
  • Provide support on ad hoc projects as required.
  • Other duties may be assigned.

Qualifications

What You'll Need:

  • High School diploma and/or GED. Associate degree in Business Administration, Management, or a related field is preferred.
  • 5-8 years of experience providing high-level executive support, preferably in a fast-paced corporate environment, and/or equivalent combination of education and experience are required. Associate degree preferred.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with experience in preparing professional reports and presentations.
  • Excellent organizational and multitasking skills with attention to detail and the ability to handle confidential information with discretion.
  • Strong communication skills, both written and verbal, with the ability to interact effectively with senior executives and board members.
  • Demonstrated ability to manage complex schedules, travel arrangements, and event coordination.
  • Ability to problem-solve and make decisions with minimal supervision, taking initiative when needed.
